DIRECTOR OF PROGRAM OPERATIONS

The Chamber Music Society of Palm Beach (CMSPB) is seeking an entrepreneurial, organized, and highly motivated Director of Program Operations. This full-time role will ensure production of concerts and events at the highest level, engaging educational programs, and impactful community engagement activities. Working closely with the Executive Director, you'll have the opportunity to contribute to our rapidly growing organization and influence the cultural landscape of the community.

The ideal candidate will have experience in a classical music production and/or music education role and will be looking to gain significant experience across a broad range of performing arts management areas and working up close with many of the world’s most preeminent classical musicians. The position will fit best for those who can anticipate and solve problems and bring creativity, adaptability, strong communication skills, organization, and the ability to effectively self-manage.

Required evening and weekend hours are at locations across Palm Beach County. The candidate would ideally reside in or near Palm Beach County in order to effectively meet the needs of the position.

CMSPB partners to produce the Boscobel Chamber Music Festival which requires this position to be in residence in Garrison, NY for approximately two weeks in late August and early September, at the expense of the company.

Schedule and Compensation:          

Office hours are weekdays 9am-5pm, with up to a 50% work from home arrangement following an introductory period. Limited flexible scheduling is also possible. Some evening and weekend work is required to support event needs.

Our competitive compensation package includes a salary range of $55K-$70K (depending on experience), health insurance, retirement plan, and membership to the 1909 creative workspace community, which includes numerous additional benefits.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Artistic Administration

  • Support Artistic Director in winter season and festival planning, including calendar management, researching, and securing venues, contracting artists, securing concert and event production vendors.
  • Liaise with guest artists, managers, and agents coordinating the contract process, providing information and itineraries, and responding to guest artist requests.
  • Coordinate guest artist travel, transportation and lodging and arrange for onsite hospitality. Oversee setup of backstage green room in accordance with technical riders.
  • Gather program book content and coordinate program layout and printing with graphic designer and other vendors.

 Concert and Event Production

  • Ensure that the scheduling and production of all events (concerts, rehearsals, festivals, and special events) run smoothly, effectively, and in a financially responsible manner.
  • Plan and administer all concert production activities, including facility and equipment rental, staging requirements, venue parking, and other logistical arrangements.
  • Serve as stage production manager for all concerts and live events ensuring they run on time and all stage and front-of-house production elements are set including security, parking, and other venue logistics.
  • Collaborate with Artistic Director on video and audio recording projects including archival and broadcast recordings.
  • Coordinate all elements of pre/post-concert patron events including catering arrangements, venue rentals, event setups, signage, and other elements as needed.
  • Manage the procurement of necessary supplies, licenses, permits, COIs, equipment, and independent vendor services for operational purposes.

 Education & Community Engagement

  • Serve as lead liaison to area educators to grow CMSPB’s presence and impact in area schools and among the music education community. Coordinate educator advisory council, scheduling meetings, and developing agendas.
  • Serve as organizational representative to the Palm Beach County and south Florida communities, developing and maintaining strategic relationships and partnerships to develop CMSPB’s impact on the community.
  • Assess opportunities for community impact and engage Artistic Director in developing  to meet community needs and preferences.
  • Schedule and support school and community outreach activities in coordination with area educators, community partners, Artistic Director, and guest artists.

 Administrative and Finance Support

  • Create, track, and ensure adherence to artistic, production, and education/community engagement budgets. Prepare budget projections as needed.
  • Make accurate, on-time, and detailed QuickBooks expense entries for production and education related expenditures.
  • Review invoices, submit payment requests, and file invoices for future reference.

Desired Skills and Experience

  • Strong organizational and communication skills and attention to detail, with ability to work independently, problem-solve, and prioritize multiple projects and activities.
  • Preferred two years or more of relevant professional work experience in classical music operations/production, music education, classical music community engagement.
  • Ability to provide high level stewardship of all stakeholders with strong interpersonal skills and the ability to effectively interface with patrons, donors, board members, contract staff members and consultants.
  • Must be able to work some evenings and occasional weekends as required.
  • Reliable personal transportation required.
