Patron Services Manager


The Chamber Music Society of Palm Beach is hiring a part-time Patron Services Manager to perform a key role as a public-facing staff member who will ensure excellent customer service, communication, and patron stewardship for CMSPB donors, subscribers, ticket holders, and the public. The position reports to the Executive Director and will have limited supervisory responsibilities over contracted event staff.

Preferred hours are weekdays 10am-2pm, with opportunities for flexibility and partial remote work if desired. Occasional evening hours are required to support event needs.

Schedule and Compensation:
20 hours per week; $28/hour
Position to start on or before November 1, 2022

 Patron Services

  • Respond to and/or process ticketing, info, and donor phone calls/emails; follow up on online orders, coordinate onsite event ticket sales; print and distribute tickets
  • Oversee all patron service issues/special requests and deliver satisfactory resolution
  • Provide concierge-level customer service to all patrons
  • Manage online point of sale and donation systems in close coordination with web developer
  • Plan and supervise all front of house operations, including reserved seating, ticket scanning, ushering, and hiring, training, and scheduling of contracted event staff
  • Ensure event reminders emails and follow up emails are created and sent
  • Ensure delivery of donor acknowledgment letters and all needed follow-ups; keep meticulous donor records and create donor reports
  • Recommend and implement policies and procedures to ensure effective patron support

Administrative Support

  • Manage CRM system, ensuring accurate and up-to-date record keeping
  • Produce and analyze routine sales reports
  • Support marketing and fundraising campaigns as needed
  • Support consultants in producing and organizing outbound email communication and social media
  • Assist in ensuring website accuracy and keeping information up to date
  • Support Board meetings by assisting with preparation and taking minutes
  • Provide additional administrative support as needed

Desired Skills and Experience

  • Strong organizational skills and attention to detail, with ability to work independently, problem-solve, and prioritize multiple projects and activities
  • Ability to provide high level customer service with strong interpersonal skills and the ability to effectively interface with patrons, donors, board members, contract staff members and consultants
  • Must be able to work some evenings and occasional weekends as required
  • Excellent written and verbal communication skills
  • 1-2 years or more of professional work experience
  • Comfort using Google Drive, Docs, Sheets, and other file sharing platforms; comfort with Microsoft Office software
  • Experience with ticketing/performing arts CRM software preferred
  • Familiarity with classical music and/or performing arts a plus
  • Prior patron services experience preferred
